Job Description Summary

 

Business Administrator reports to [Project Manager­] and is responsible for coordinating and administering business needs of the Anderson Family, including managing Bookkeeper, and outsourced tax services, insurance, property tax, business permits and ad-hoc project administration. 

 

Job Functions

  • Manage Bookkeeper. Duties include day to day communication and coordination with owners and Bookkeeper; review of monthly financial statements and management reports; coding of expenses; and assisting with periodic budgeting and forecasting. 
  • Manage Quickbooks Online system for Accounts Receivable, Accounts Payable and General Ledger.
  • Makes recommendations for process changes as needed, to ensure the accuracy, usefulness and timeliness of invoicing/collections, fixed asset tracking, payment of expenses and financial/management reports.
  • Review and assist with monthly variance analysis and management reports.
  • Manages banking relationship and coordination with Bookkeeper.
  • Manages outsourced Tax services including quarterly federal tax estimates, annual federal and state income tax returns.
  • Coordinates weekly payroll between service provider and Bookkeeper.
  • Coordinates sales, use and excise tax reporting and annual compliance reporting with Bookkeeper.
  • Coordinates new vendor set-up with Bookkeeper.
  • Prepares and coordinates various grant applications and annual compliance.
  • Coordinates all insurance administration including annual renewals, claims, and maintenance of insurance policies as needs change throughout the year.
  • Assists with preparation and review of annual budgets and periodic forecasts.
  • Coordinates compliance with property taxes.
  • Coordinates and manages compliance with general business permits. (mining, burning, etc.)
  • Research new state and local tax requirements and ensure compliance.
  • General administrative duties as needed.

 

 

Knowledge, Skills, Abilities, & Other Qualifications

Minimum Qualifications:

  • Demonstrated experience in general business administration; financial management experience a plus.
  • Successful leadership experience
  • Budgeting and Forecasting Experience
  • Impeccable written and verbal communication skills and excellent organizational skills
  • Ability to collaborate successfully in a team environment and lead in a fast-paced environment

 

Preferred Qualifications:

  • Previous experience in agriculture/manufacturing industry
  • Previous experience as controller or financial manager
